Configuring QL Player with Microsoft Teams Rooms Devices

Requirements before you begin

Your Microsoft Teams Rooms (MTR) devices represent a significant investment in meeting and collaboration technology. However, when a meeting is not in session, the large display often sits idle — a valuable, highly visible screen that is underutilised.

This is where the power of integrating Navori QL Player comes in. By leveraging Navori's enterprise-grade digital signage platform directly on your MTR devices, you can automatically convert those idle screens into dynamic, high-impact communication channels.

In this article, we will outline how you can install QL Player on your Microsoft Teams Rooms devices.

Adding QL Player as your Digital Signage in Microsoft Teams

  • Head to the Microsoft Teams Rooms Pro Management Platform

  • Click Settings

  • Select Digital Signage from the drop-down menu

  • Toggle Digital Signage to the On state

  • Click Add Source

  • From the General area, give your source content a Name (required) and Description (optional) of your choosing

  • Select Next

  • From the Select Source area, select the Custom radio button and enter the URL for the Navori QL Web Player: https://europe.navori.com/QLPlayer

  • Select the Set as Default Source for the Tenant checkbox

  • Select Next

  • Review the Acknowledge Terms section then click Next

  • In the Review and Finish section, review the settings and press Submit when you're ready

  • Finally, press Done when you reach a section that reads New Digital Signage Source Added

Please Note

The following section assumes you already have a Teams Rooms device added to the Microsoft Teams Rooms Pro Management Platform. If you have not yet configured a device, please read Microsoft's documentation before proceeding.

Activating Digital Signage on your Teams Devices

  • Click the Rooms tab located in the left-most menu pane

  • In the Rooms menu, select the device you'd like to activate Digital Signage on

  • When the menu pane opens, click Settings

  • Click the Digital Signage tab

  • Toggle Digital Signage to the On state

  • At the bottom of this same screen, under the Signage Source area, ensure that the Signage Source you configured in the previous section is selected

  • Click Apply to save the configuration

  • When the Save Digital Signage Settings dialogue box appears, choose when you'd like to apply these new settings and then press Submit

Upon completing the steps above, the Activation Page will appear on your Microsoft Teams Rooms device once your digital signage source begins displaying on your device. At this stage, you can connect a USB Keyboard to your device and use the TAB key to navigate and the SPACE key to select in order to complete the activation process.

Auto Activation for QL Player on Microsoft Teams Rooms Devices

You can also auto-activate your Microsoft Teams Device during the initial configuration by making some adjustments to the Source URL within the Microsoft Teams Rooms Pro Management Platform.

Please Note: Before following this section, you'll need a free licence available within your Navori Domain, along with the specific domain URL for the instance of Navori QL you are accessing.

  • Follow the steps as per the Adding QL Player as your Digital Signage in Microsoft Teams section of this article up until step 8

  • From the Select Source area, select the Custom radio button

  • In the URL field, enter your unique variation of the QL Player URL, following this format:
    https://yourdomain.navori.com/QLPlayer/?s=yourlicencenumber

  • Complete the remaining steps as per the Adding QL Player as your Digital Signage in Microsoft Teams section of this article

Upon completing the steps above, your Microsoft Teams Rooms device should now display the Navori holding screen, or any content you may have already had published to this media player/licence, ready for you to publish new content.

By adding Navori QL Player as a Digital Signage source within the Microsoft Teams Rooms Pro Management Platform, you can turn idle MTR displays into an active communication channel — either activating manually via the on-device Activation Page, or configuring Auto Activation to skip that step entirely using a licensed Source URL.
